    Terms of Service

    Effective date: June 21, 2026

    1. Agreement to Terms

    These Terms of Service ("Terms") govern your access to and use of the DocsQA Widget-Builder platform operated by DocsQA ("we", "our", or "us") at docsqa.com.

    By creating an account, using the platform, or embedding a DocsQA widget on your website, you agree to be bound by these Terms. If you are using the platform on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.

    If you do not agree to these Terms, do not use the platform.

    2. Description of Service

    DocsQA Widget-Builder is a software-as-a-service (SaaS) platform that allows businesses to:

    • Upload supported documents (PDF, DOCX, TXT, MD, PPTX) to create AI-powered knowledge bases
    • Deploy embeddable chat widgets on their websites
    • Allow website visitors to ask questions answered by the uploaded content
    • Manage team members and usage through a dashboard

    The AI responses are generated using large language models and retrieval-augmented generation (RAG). Responses are based on your uploaded content but may not always be accurate. You are responsible for reviewing and validating AI-generated content before relying on it.

    3. Accounts & Tenants

    3.1 Registration

    You must provide accurate information when creating an account. You are responsible for maintaining the security of your credentials and for all activity under your account. Notify us immediately at [email protected] if you suspect unauthorised access.

    3.2 Tenant Isolation

    Each registered organisation is a separate tenant. Your data, documents, and users are isolated from other tenants. You may invite team members with defined roles (Owner, Admin, Member). The Owner is responsible for all activity within the tenant.

    3.3 Uploaded Content Responsibility

    You are responsible for ensuring that you have all rights, permissions, consents, notices, and lawful basis required to upload, process, and use documents through DocsQA, including documents that contain personal data, confidential information, employee data, customer data, or third-party intellectual property. You must not upload content that you are not legally allowed to process through the platform.

    3.4 Account Termination

    You may delete your account at any time. We may suspend or terminate your account if you violate these Terms, engage in abusive behaviour, or fail to pay applicable fees. Upon termination, your data will be deleted in accordance with our Privacy Policy.

    4. Acceptable Use

    You agree not to use the platform to:

    • Upload content that is illegal, defamatory, obscene, or infringes third-party rights
    • Upload documents containing personal data of third parties without their consent
    • Upload sensitive personal data unless you have a lawful basis and appropriate safeguards
    • Attempt to reverse-engineer, scrape, or extract the underlying AI models or embeddings
    • Circumvent rate limits, token quotas, or plan restrictions
    • Use the platform to generate spam, misinformation, or harmful content
    • Use AI outputs as the sole basis for legal, medical, financial, safety-critical, employment, or other high-impact decisions
    • Resell or sublicense access to the platform without our written consent
    • Conduct security testing or penetration testing without prior written approval
    • Use the platform in any way that violates applicable laws or regulations

    We reserve the right to remove content and suspend accounts that violate these rules without prior notice.

    If you use DocsQA outside Bangladesh, you are responsible for complying with laws that apply to your business, website visitors, uploaded documents, and use of AI-generated responses, including privacy, consumer protection, electronic communications, data transfer, employment, sector-specific, and accessibility rules where applicable.

    5. Plans, Billing & Payments

    5.1 Plans

    We offer a free Freemium plan and paid plans (Starter, Pro, Business, Enterprise). Plan features, limits (document count, message usage, token usage, team members), and pricing are described on our pricing page and may change with 30 days' notice.

    5.2 Payment

    Paid plans may be billed manually or through supported online payment providers when self-service checkout is enabled. At this stage, plan upgrades and renewals may require contacting DocsQA by email. If online checkout is enabled, payments may be processed by SSLCommerz or another payment provider. All prices are in BDT (Bangladeshi Taka) unless otherwise stated.

    5.3 Renewals & Cancellation

    Paid plan access is granted for the period shown in your workspace or agreed with DocsQA. If automatic renewal is not enabled, you must renew before expiry to keep paid-plan limits. You may request cancellation or plan changes by contacting DocsQA. Cancellation takes effect at the end of the current paid period unless we agree otherwise. No refunds are issued for partial months unless required by law.

    5.4 Plan Expiry & Downgrade

    If your paid plan expires or payment fails, your account will be downgraded to the Freemium plan. Your data is preserved, but Freemium limits apply. Documents above the Freemium active-document limit may be disabled or become unavailable for chat until you renew, upgrade, or manually choose which documents remain active.

    5.5 Token Usage

    Each plan includes a monthly AI token allowance. Token usage is tracked per tenant. When the monthly limit is reached, AI chat responses will be blocked until the next billing cycle or until you upgrade. Unused tokens do not roll over.

    6. Intellectual Property

    6.1 Your Content

    You retain all ownership rights to the documents you upload and the content of your knowledge bases. By uploading content, you grant us a limited, non-exclusive licence to process, store, and use that content solely to provide the service to you.

    6.2 Our Platform

    The DocsQA platform, including its software, design, trademarks, and documentation, is owned by DocsQA and protected by intellectual property laws. You may not copy, modify, or distribute any part of the platform without our written consent.

    6.3 Feedback

    If you provide feedback or suggestions about the platform, you grant us the right to use that feedback without restriction or compensation.

    7. Widget Embedding

    You may embed the DocsQA widget on any website you own or control. You are responsible for registering the domains where the widget will be used. We enforce domain allowlists to prevent unauthorised use of your widget. You must not embed the widget on websites that violate these Terms or applicable laws.

    Freemium plan widgets display a "Powered by DocsQA" watermark. Removing the watermark requires a paid plan.

    8. Data Processing

    When DocsQA processes personal data contained in customer-uploaded documents, widget conversations, or other customer-controlled content, we process that data on behalf of the workspace owner to provide the service. Business customers can review our Data Processing Addendum.

    You are responsible for providing any privacy notices, consents, and legal disclosures required for your website visitors, employees, customers, or other individuals whose data you upload or process through DocsQA.

    If your use of DocsQA is subject to GDPR, UK GDPR, CCPA/CPRA, or similar data protection laws, you are responsible for configuring and using the service in a way that supports your own compliance obligations, including lawful basis, data subject notices, consent where required, and honoring requests from individuals.

    9. Disclaimers & Limitation of Liability

    9.1 AI Accuracy

    AI-generated responses are based on your uploaded content and may contain errors, omissions, or inaccuracies. We make no warranty that responses are accurate, complete, or suitable for any particular purpose. You are solely responsible for validating AI output before acting on it.

    9.2 High-Risk Use

    DocsQA is designed for document-based question answering and customer support assistance. It is not intended to be used as the sole source of truth for legal, medical, financial, safety-critical, employment, eligibility, or other high-impact decisions. You must apply human review and independent verification where outcomes may affect rights, safety, money, employment, or legal obligations.

    9.3 Service Availability

    We aim for high availability but do not guarantee uninterrupted service. We are not liable for downtime, data loss, or damages resulting from service interruptions.

    9.4 Limitation of Liability

    To the maximum extent permitted by law, DocsQA's total liability to you for any claim arising from these Terms or your use of the platform shall not exceed the amount you paid us in the 3 months preceding the claim. We are not liable for indirect, incidental, consequential, or punitive damages.

    10. Indemnification

    You agree to indemnify and hold DocsQA harmless from any claims, damages, or expenses (including legal fees) arising from your use of the platform, your uploaded content, your violation of these Terms, or your violation of any third-party rights.

    11. Security Incidents

    If we become aware of a security incident affecting customer data, we will investigate, take appropriate containment and remediation steps, and notify affected customers where required by applicable law. You are responsible for promptly notifying us if you suspect unauthorized access to your workspace, credentials, domains, or embedded widget.

    12. Governing Law

    These Terms are governed by the laws of Bangladesh. Any disputes shall be resolved in the courts of Dhaka, Bangladesh, unless otherwise required by applicable consumer protection law in your jurisdiction.

    Nothing in these Terms limits rights or obligations that cannot legally be excluded under mandatory laws that apply to you, your users, or your use of the service. Where mandatory local law provides additional consumer, privacy, or data protection rights, those rights continue to apply.

    13. Changes to Terms

    We may update these Terms from time to time. We will notify you of material changes by email at least 14 days before they take effect. Continued use of the platform after the effective date constitutes acceptance of the updated Terms.
